Memberships

We’ve added some great new additions, reworked some things under the hood, and added a little polish on the front end to make managing your memberships more powerful!

Add Enrollees by Patient not Quantity

When a membership includes more than one patient, you now enroll patients individually rather than by quantity, giving you greater control and visibility on who’s enrolled.

Set an End Date for Monthly Memberships

You can now set an end date when creating memberships with monthly payments.

Memberships + Discount Plans (Open Dental)

We continually strive to add deeper levels of integration with Open Dental, and today, memberships get their day in the sun.

Set a Default Discount Plan to a Membership
We added the ability to default a Discount Plan to a membership. If the practice uses Open Dental Discount Plans, we encourage you to set a default Discount Plan on your existing memberships.

What is an Open Dental Discount Plan?

To set a default Discount Plan:

  1. Click on the name in the top right corner of Crown, and select “Membership Management.”
  2. Click “Edit Membership”
  3. Choose the desired Discount Plan in the dropdown.

Link to a Discount Plan when creating a Membership
When enrolling a patient in a new membership, you can choose to link the membership to an Open Dental Discount Plan. When a membership is linked to a Discount Plan, Crown will automatically add and remove the patient from the Discount Plan in Open Dental as you create and cancel their membership.

Note:
If a patient is connected to an insurance plan in Open Dental, you’ll be unable to link their membership to a Discount Plan.

Allocate Membership Payments to a Procedure (Open Dental)

Set a procedure code, and we’ll allocate the patient’s membership payment.

Note:
If a procedure code isn’t set, the payment will be posted to the patient’s ledger as an unallocated payment, resulting in a balance reduction. If you prefer membership payments not to be posted to Open Dental, please ensure this setting is toggled off.

To visit your Open Dental membership settings, please do the following:

  1. Click on the name in the top right corner of Crown, and select “Settings.”
  2. Click “Open Dental”
  3. Enable “Post Membership Payments to Open Dental”
  4. Set the Procedure Code
  5. Click “Update Open Dental Settings”

Other Enhancements and Bug Fixes

  • When adding a patient to insurance reimbursements, we’ve prevented accidental closing of the window.
  • We’ve removed the ability to process supplemental payments on insurance reimbursements temporarily. Procedures in claims that have already been processed will be hidden. We’re redesigning this to accommodate Open Dental best practices and will support this feature in an upcoming release.
  • Fixed an issue where the patient’s profile wasn’t reflecting changes made in Open Dental.

Surcharge Compliance

If you are considering introducing a credit card surcharge for your patients, it is important to understand that there are specific rules and regulations that must be followed when enrolling in and operating under a surcharge plan.

This article provides a general overview of common surcharging requirements. This content is provided for informational purposes only and does not constitute legal advice. Transparent Communication
Card networks, including Visa, Mastercard, Discover, and American Express, require merchants to clearly and transparently disclose when a credit card surcharge is applied.

Practices must clearly notify patients of a credit card surcharge through appropriate signage placed at the practice entrance, at the point of sale or terminal, and anywhere payments are accepted. If payments are accepted online, surcharge disclosures must also be clearly visible on the practice’s website. All disclosures must inform patients that the surcharge applies only to credit card transactions.

Surcharge Limits
Credit card surcharges must comply with both card-network rules and applicable law. The surcharge amount may not exceed the merchant’s actual cost of accepting credit cards and may not exceed 3% of the total transaction amount.

Card-network rules cap credit card surcharges at 3%, meaning that if a merchant’s processing costs exceed this amount, the excess portion cannot be passed on to the patient.

Network and State Restrictions
The major credit card networks, such as Visa and Mastercard, impose specific requirements related to surcharge limits, advance notification, and disclosure.

In addition, several U.S. states and territories regulate or prohibit credit card surcharging. At the time of writing, credit card surcharging is prohibited in Connecticut, Maine, Massachusetts, and Puerto Rico. Other states, including Colorado, Minnesota, Mississippi, New Jersey, and New York, impose restrictions on surcharge amounts or require specific disclosures.

If your practice operates in a state that restricts or prohibits credit card surcharging, you must fully understand and comply with those requirements before implementing a surcharge.

Debit card transactions may never be surcharged, even if the debit card is processed as a credit transaction.

Applicability
Credit card surcharges may be applied only to credit card transactions. Other payment types, including debit cards and alternative payment methods, are not eligible for surcharging.

Regulatory Compliance
Merchants are responsible for maintaining ongoing compliance with all applicable card-network and legal requirements. This includes meeting advance notification obligations, using compliant signage and disclosures, adhering to surcharge percentage limits, and respecting jurisdiction-specific restrictions.

By following these guidelines, dental practices can implement credit card surcharging in a way that aligns with card-network rules and promotes transparency with patients. Clear and upfront communication helps maintain patient trust and supports a positive payment experience.
